1. Agreement and eligibility

By creating an account, accessing a Clerkora workspace, or using Clerkora’s services, you agree to these Terms and the Privacy Policy. If you use Clerkora for a business or organization, you confirm that you are authorized to accept these Terms for it.

You must provide accurate account information, keep credentials secure, and promptly notify Clerkora at hello@clerkora.com if you believe an account or workspace has been accessed without permission.

2. What Clerkora provides

Clerkora provides tools for configuring business information, services, pricing, hours, FAQs, policies, customer records, leads, conversations, schedules, and booking rules. Depending on the selected configuration, Clerkora may also provide an embedded Website Chat experience and an AI Phone Receptionist.

Features may be limited, tested, changed, or unavailable while they are being improved. A displayed feature, draft automation, integration setting, or public price does not by itself create a service-level commitment or guarantee that every provider or channel is active for a particular account.

3. Business responsibilities

Businesses using Clerkora are responsible for:

  • the accuracy and legality of business details, services, prices, policies, hours, travel terms, payment instructions, and other content they provide or approve;
  • having authority to collect, upload, use, and instruct Clerkora to process customer, lead, staff, and appointment information;
  • providing any notices and obtaining any consents required for chat, call recording or transcription, automated communications, marketing, and customer-data processing;
  • reviewing AI-assisted responses, imported website facts, leads, appointments, and exceptions that require human judgment;
  • fulfilling services, honouring confirmed commitments, handling disputes, and complying with laws applicable to their business; and
  • keeping workspace access limited to authorized personnel.

A business must not configure Clerkora to mislead customers, impersonate another person or organization, or make claims it is not authorized to make.

4. Customer data and communications

Business users retain responsibility for the customer and business content they submit to Clerkora. They authorize Clerkora to host, process, transmit, and format that content as needed to provide the configured service, including through the providers described in the Privacy Policy.

Businesses must not submit highly sensitive information that Clerkora has not been designed or expressly agreed to handle. Clerkora’s current customer-intake tools are intended for ordinary service-business contact, inquiry, scheduling, and appointment information.

5. AI-assisted interactions

Clerkora uses AI to help conduct conversations, identify customer intent, retrieve configured business facts, and guide supported booking steps. AI responses may be inaccurate, incomplete, delayed, or misunderstood. They are not professional, medical, legal, financial, or emergency advice.

Clerkora’s database and booking functions remain authoritative for supported availability and appointment creation, but a business must still review its configuration and operational records. Customers and businesses should confirm important details directly when an answer appears uncertain or when a request falls outside the supported workflow.

6. Phone and transcription features

Phone Receptionist features depend on telecommunications and AI providers, network conditions, telephone-number configuration, and business settings. Businesses are responsible for choosing an appropriate privacy notice and for complying with laws governing call recording, transcription, caller consent, telemarketing, and telephone communications in every place where they use the feature.

Clerkora may retain call metadata, transcripts when enabled, booking state, and operational diagnostics as described in the Privacy Policy. Emergency calling and emergency-response services are not provided through Clerkora’s receptionist.

7. Bookings, services, and payments

Clerkora can check configured availability and create appointments only through supported validation rules. A booking is not complete merely because an AI response discusses a date or time; the authoritative booking record must be created successfully. Businesses remain responsible for staffing, service delivery, customer communication, cancellations, refunds, taxes, travel charges, and resolving scheduling disputes.

Clerkora currently stores configured prices, deposits, payment preferences, e-transfer instructions, and external payment links, but does not provide an integrated Stripe checkout or directly process customer card payments. Any transaction completed through an external payment provider is governed by the business’s and that provider’s terms.

8. Acceptable use

You may not use Clerkora to break the law; violate another person’s rights; send deceptive, abusive, or unauthorized communications; introduce malware; probe or bypass access controls; interfere with service operation; scrape non-public data; expose credentials; or use one organization’s access to obtain another organization’s information.

You may not rely on Clerkora for emergency dispatch, safety-critical decisions, or unsupported high-risk professional advice. Clerkora may restrict access when reasonably necessary to protect the service, its providers, users, or the public.

9. Third-party services

Clerkora relies on services including Supabase, Vercel, Railway, Twilio, OpenAI, Google authentication, and any external websites or payment links configured by a business. Their availability and processing are governed by their respective terms. Clerkora is not responsible for a third-party service’s independent acts, outages, or changes, but will configure and use those services as part of delivering Clerkora.

10. Fees and commercial terms

Public plan prices are presented in Canadian dollars unless stated otherwise. The plan, included usage, price, payment timing, renewal, taxes, and any special commercial terms that apply to a customer should be confirmed in the checkout, order, invoice, or other purchase terms actually accepted by that customer.

The current implementation does not include an integrated Stripe checkout. These Terms do not invent a refund, renewal, cancellation, or payment-processing policy where none has been presented and accepted. Any such policy must be supplied in the applicable commercial terms.

11. Ownership and feedback

Clerkora and its licensors retain rights in the Clerkora service, software, design, and branding. Business users retain their rights in content they provide. The permission to use submitted content is limited to operating, maintaining, and supporting the service as described in these Terms and the Privacy Policy.

If you voluntarily provide product feedback, Clerkora may use it to improve the service without restricting your ability to use the ideas independently.

12. Availability, suspension, and termination

Clerkora may change, suspend, or discontinue features and may restrict an account for security, abuse, legal, non-payment, or material breach reasons. Where practical, Clerkora should provide notice appropriate to the circumstances.

You may stop using Clerkora at any time. Because the current product does not provide self-service account deletion, contact hello@clerkora.com about closure and associated records. Ending access does not automatically resolve outstanding business obligations or require immediate deletion of every record.

13. Disclaimers and responsibility

To the extent permitted by applicable law, Clerkora is provided on an “as available” basis. Clerkora does not guarantee uninterrupted service, error-free AI output, a particular business result, or that every inquiry will become a lead or appointment.

Clerkora is not the provider of the services sold by businesses using the platform and is not responsible for the quality, safety, legality, delivery, or outcome of those services. Nothing in these Terms excludes or limits responsibility that cannot lawfully be excluded or limited.

14. Changes and contact

Clerkora may update these Terms as the product and commercial offering change. The date above identifies the current version. Continued use after an updated version takes effect means the updated Terms apply to later use, subject to any notice required by law or an applicable commercial agreement.

Questions about these Terms can be sent to hello@clerkora.com.
